How to Arrange Car Shipping (Podcast)

John Maher: Hi, I’m John Maher. I’m here today with Mike Scenna, sales manager at Pre-owned Auto Logistics, the car shipping and auto transport and logistics company in Massachusetts. Our topic today is how to arrange car shipping. Welcome Mike.

Mike Scenna: Hi John. Thanks for having me.

John: Sure. Mike, today we want to talk a little bit about some of the factors involved in arranging my car shipment into what goes into that. The first question is, how far in advance should I plan my car shipment and give you guys a call to make sure that I’m getting the car picked up at the right time?

Importance of Planning Auto Shipping

Mike: This is a great question. It’s definitely important to start thinking about your car shipment ahead of time. It’s not something you want to do last minute and just call up and say, “Hey, I need a car shipped tomorrow.” It’s going to be a little bit more difficult to get accomplished what you’re looking for in that case. I’d say a good timeframe, depending on the type of shipment, where in the country it’s going to, where it’s coming from, would be about a month. It’s almost overkill. It’s good to get on the books and be able to have a company like us start working on that shipment, what your best options are, how we’re going to move that car, how are we going to get it done at the best rate for you. Calling ahead of time and giving a company more time to work on the shipment is going to help accomplish what you’re looking for and also giving you the best rate, if they’re able to have more time to plan that out.

Choosing an Auto Transport Company

John: Okay. How do I pick an auto transport company? There’s a lot of them out there. What are some of the factors involved in choosing the right company?

Mike: You start by asking yourself what’s important to you. When you ship a car, you have to consider, what’s going through your mind is, how much is this going to cost? Obviously people, we want to get a good deal on this service and pay a reasonable amount of money. You also have to consider the security of the car. That is going to be something that’s important to a lot of individuals, to make sure that the transport is done properly and your car gets to where it’s supposed to be safely and not damaged. When you’re asking yourself these things, it’s good to go online and review companies. There’s lots of information out there on companies, how to choose companies, what questions to ask.

That’s another important thing. There are also a lot of companies out there. While it’s very convenient to go on a website, get an instant quote, hit a button and book your transport and it’s done, that’s great. That’s simple. But I always tell people it’s really good to get on the phone and ask questions, because this is something people don’t do often or may be doing for the first time ever. So if you’re doing something like this for the first time ever, this isn’t a small task, moving your car a great distance. You should really get on the phone with some companies and ask questions and get an understanding of who you’re working with, who’s going to be moving your car and if they’re able to get it done in a way that suits you. The time frame is right. The insurance information is right, and you’re getting all of your boxes checked off.

Getting a Quote

John: Right. Then how do I go ahead and actually get a car shipping quote, so that I can see how much this is going to cost for me?

Mike: Getting a quote is very easy. You can go online. There are websites such as our own that you can fill out a quote form and you get a quote through email. Or you can get on the phone and call companies, I think is the best way to do it. You’re going to get a more accurate quote when speaking to someone. You and I have talked in the past about all of the things that go into shipping a car, and we’ve done other podcasts on how the rate is determined and the breakdown of what goes into that. It’s a lot. So you’re going to get the best quote by speaking to someone and having them fully understand your move. There are a lot of companies out there that give you an instant quote online. That quote is really more of a guess.

I’ve heard from people we’ve talked to, a lot of people moved a lot of cars for folks, who’ve gotten a quote, an instant quote, from a company who starts working on the shipment. Then they get a call a week later saying that they didn’t realize you needed the car by this time or that the car had these extra features on it that made it heavier. So now they’re going to need more money. So it might seem great, you fill out the quote, you get it back instantly and they promise you a good timeframe. But if you’re not taking the time on the front end to do this right and give the correct information, it ends up costing you more money and time on the backend because you didn’t give the company a full understanding of your shipment.

John: Right. That’s why calling you and talking to a real person really can help because there’s a lot more factors, like you said, than just punch in the city that I’m starting from in the city that I’m going to. There’s a lot more to it.

Mike: Right, exactly. It’s important to understand those things in order to get you an accurate quote.

Booking

John: What’s the next step then? I’ve got a quote. I know the company that I want to work with and I’m ready to move forward. What’s next?

Mike: Booking is as simple as, with our company, you’re talking to someone to get that quote and you’re dealing with them and giving them information. You’ve probably had a few phone calls. You’re ready to book. You’re going to be working with that same person. They’re going to take all of the necessary information for the shipment. You have addresses on both ends, points of contact. We like to make sure we get your point of contact, maybe a backup point of contact, in case we’re not able to get in touch with you. We want to have as much information as possible to make sure everything goes smooth. You have your order booked. You get a confirmation number and we stay in contact with you throughout that whole process, let you know exactly what you need to do, where you need to be and when we expect the truck to be at the pickup, at the destination. We’re always there to answer any questions you have along the way. If anything pops up, you want an update, you can always call your rep and get that answered.

Preparation for Auto Transporting

John: Is there anything that I have to do to prepare my car to be shipped?

Mike: Yeah. It’s important to make sure that you have your car ready to be shipped and it’s in the proper condition to head out. That’s a benefit of getting on the phone with someone who’s going to help walk you through that. You and I have discussed in the past how weight is a factor when shipping. It’s important not to put any items in the car. You don’t want too much in there for several reasons. Weight is going to come into play. Also it’s really two different types of insurance, as far as moving items versus a vehicle. This is a moving company versus an auto shipping company. I can tell you right now that there are no companies out there that cover items in the car. So it’s important to know that you don’t want to put anything valuable in the car because it’s not covered. Not that you have problems with that often with theft and things like that, but it’s better to be safe than sorry. It’s good to know that if something happens to the stuff you have in the car, you’re not going to be covered for that. Then finally would be gas. We always ask people that they try to keep gas on the lower side, maybe down close to a quarter of a tank if you can.

John: Obviously there needs to be some gas in the car for it to be loaded on and off of the truck, but that doesn’t use much gas at all. You want to keep the weight down, that’s why.

Mike: Right. You want to keep the weight down. Like you said, there’s not too much gas needed. It’s on the truck, maybe off the truck, once or twice in order to accommodate dropping different cars off in different places. Then yeah, off the truck at the destination. So it doesn’t take too much gas.

Auto Transport Pickup Procedure

John: Talk a little bit more about the pickup procedure itself. Once I’ve arranged it and I know when you guys are going to come and pick up my car, how does that all work?

Mike: Yeah, sure. When it’s time for the pickup, it’s best to be present for the pickup if you can, because it’s important to go over the condition of your vehicle with the driver. Together, you and the driver walk around the vehicle and note any existing damage. You really want to have a good idea of the condition of the car prior to shipping, to make sure you receive it in that same condition. I tell people that aside from the driver’s condition report that they’re performing that you’ll sign off on, it’s great to take pictures. Everyone has a camera on their phone now. Just as you’re walking around, pull out your phone and snap some pictures around the car. Your car is in perfect condition, has no damage, it’s good to have those pictures to show that so that if something were to happen, you have a photo. You could show that this is not how the car was when I handed it over to the driver.

Receiving the Car at the Destination

John: What about on the other end of the trip? How do I receive my car at my destination?

Mike: The opposite of the condition report on that end, now you’re going over the condition report that was performed with the driver. You’re looking at their records and the condition in your photos. You want to do a really good job at looking through the car when you receive it, which can be tough. It’s good to work with the right company who can remind you to do this. I see a lot of people in a rush more than they’d like to be. You tend to maybe grab the keys, thank you, this is great, and drive off in the car. It’s very important to take the extra couple of minutes to go through the car, look underneath, walk around the car. Because you want to point that out at that time. If anything did happen to the car, it’s best to address it right then and there. It’d be terrible if you drove off with it, and two days later you realize something that you didn’t notice before in the car. Now you’re not sure if that happened during transport or in a parking lot in those two or three days that you’ve had the car.

John: Any final thoughts on arranging car shipping? Overall, it seems like it’s a pretty simple process.

Asking Questions

Mike: As I always say, ask a lot of questions. Get as much information as you can. Make sure you’re looking at reviews, choosing the right company and going through all the steps in the right way. If you’re working with the right person, shipping a car should be a stress free and easy process.

Factors That Contribute to Car Shipping Rates (Podcast)

John Maher: Hi, I’m John Maher, and I’m here today with Mike Scenna, sales manager at PreOwned Auto Logistics, a car shipping and auto transport and logistics company in Massachusetts. Our topic today is factors that contribute to car shipping rates. Welcome, Mike.

Mike Scenna: Hey, John. How are you?

John: Good, thanks. So, Mike, I have a number of factors that are contributing factors to car shipping rates. They can make the rates go up or down depending on what the factors are. I’m just going to name them, and then you can kind of talk about each one. The first one is location. How is that a factor?

Location and Auto Shipping Rates

Mike: Yeah, so location is probably your biggest factor when it comes to shipping. I think most people tend to think that it’s all about mileage, so the more miles you ship, the more expensive it’s going to be. However, that’s not really the case. It’s more to do with accessibility, so if you’re shipping a car to, say, from Boston to Los Angeles, that’s going to help you as far as cost goes, because that’s a very popular lane. There are constantly trucks going back and forth from that area. There are cars moving in that lane all the time, but if you were to try to ship a car out to, say, somewhere in Montana or Idaho, that’s a lane that’s not traveled as frequently. It’s going to be a lot more difficult. There are less spots that you’re competing for to get on the trucks, so it’s going to drive the price up quite a bit when it comes to location.

John: So it ends up being sort of a combination of the distance and how close it is to one of these lanes that you’re driving in.

Mike: Right, and sometimes there’s a big difference between a major city or, depending on the highway, the way it’s running into that location being only 30, 40 miles out. For example, 95 going up and down the East coast is a very popular lane, but when you get into the Carolinas and you have some of these beaches over there that are a good ways from the highway, that’s going to drive the price up, because the truck is probably working its way down the coast and you’re going to have to detour quite a bit to get off 95, whereas if you’re located on major highways, it’s going to drive the price down because it’s a lot more convenient of a trip.

John: Okay. Talk about distance by itself, though. I assume that still is a factor. Do you just plug in the mileage, and is it a certain price per mile? How does distance actually work?

Mike: Sure, so like you said, of course distance is a factor. Gas is very expensive for these trucks and distance is the time it takes, so the further away you’re going, the longer you’re without that truck to do another trip. There’s no science or a formula to it, but it comes into play. I mean, there is some consistency in certain lanes, certain distances. They have a more consistent price, but yeah, of course that’s a big factor in the rates as well.

Type of Truck and Shipping Rates

John: The next factor that contributes to car shipping rates is the type of truck, or the auto transportation method. I know that you can have your car shipped on one of those open car carriers that you see on the highway all the time, or I think there’s an enclosed truck as well where your car is completely covered. Are there other types of transportation methods, and how is that a factor?

Mike: Yeah, absolutely. So as you just mentioned, you have open shipment on a big truck, and that’s going to drive the rate down the lowest because it’s the most efficient for a company to move nine cars from the same place to the same place. You get into an enclosed truck, it’s a more expensive truck. There are different loading procedures, usually higher insurance on that target. It’s going to be a little bit more money, but it’s going to be a much safer way of shipping the car. It’s not exposed to any of the elements. On an open truck, there’s rain, road debris, things like that, so you’re going to receive the car in a much different condition than if you went enclosed.

You can even take it further than that. There’s flat bedding if you want your car done individually. That could drive the price up a lot, but you’d have a move very specific to you. You’re not at the mercy of moving with other people. It’s just one dedicated move to you. You could do that as enclosed as well, or there are single car enclosed carriers. If you really want to have a handle on your move and you need it right away, that’s an option.

Type of Car and Auto Shipping Rates

John: And how has the type of car that I’m shipping a factor in the rates?

Mike: So the type of car you’re shipping is a big factor because of the size and weight. There are all kinds of requirements and guidelines on the truck. From the ground to the top of the truck, there cannot be any point, any car, sticking up above 13 and a half feet. You’re at 87 feet long from the nose to the car that sticks out on the back, and then you have an overall weight on the truck that you need to meet, and then you have a weight per axle on the truck that you need to meet. So smaller, lighter cars are much easier to work into the load. You’re going to get a better rate, whereas the bigger the vehicle gets and the heavier it gets, it’s going to be a lot more difficult to work into the load. Sometimes when you get into pickup trucks and some of these bigger SUVs, they may actually take up two spots on the truck, so you lose a spot due to this car, so that’s going to drive the rate up there.

Does Time of Year Impact Shipping Rates?

John: What about the time of year? Is that a factor, if I’m moving my car to North Dakota in the middle of the winter or something like that? Is that a factor for the rates and costs?

Mike: Yeah, absolutely. So kind of like we touched on with location where you benefit from more frequented lanes, there are certain lanes that become popular during certain times of the year. It’s very popular for cars to be moving from New England to Florida in October, November, and December. There are a lot of people traveling down there, and a lot of people moving cars so there are a lot of drivers who start doing that lane, and you could save a little bit of money, whereas if you are going a different time of the year and there is not as many trucks, it might cost a bit more.

Also, if you were to go, you’ve got all these trucks traveling and bringing cars down to Florida. They could be down there for the winter. If you were to, say, buy a car from Florida, which is popular, a lot of people want to buy cars down in Florida because they tend to be in better shape because they don’t see winters, if you were to purchase that car in those months, October, November, December, you could get a really good rate on shipping it back up, because you have a lot of trucks bringing cars down to Florida, but there’s not as much inventory going up. We’re looking to fill those spots, and really there’s not as much inventory, so it’s going to be a lot less money to get on the truck. You’re not competing for other spots.

Luxury and Classic Vehicles Shipping Rates

John: Okay. You mentioned that the, in terms of the type of car that I’m shipping, size and weight is sort of the major factor there. What if I have a really expensive car or a classic car that’s worth a lot of money? Is my car insured, and if I have a really expensive car, might I have to pay extra to get insurance on that expensive car?

Mike: So it depends on the company. Some companies will price out the insurance differently. Others like ourselves, there’s no extra costs. We will cover any car, no matter the cost of it. It’s just about putting you on the right truck. Sure, we’ll cover it, but we’re going to recommend how you ship it. A lot of the really expensive cars, there are certain things like the… I’m sure you’ve noticed how they’re a lot lower, usually, so if you see, say, like a Lamborghini or Ferrari, the body might only be inches, maybe even less off the ground. You need the right truck to be able to load that car on and not damage anything. For that, it might cost a bit more, but because the truck is equipped for that type of vehicle, you’re covered if anything were to happen.

John: Right. With those low cars, you can’t go on a ramp that goes up at a very steep angle, so putting it up on the top of one of those double-decker car carriers might not be possible.

Mike: Yeah. They don’t work on those. So there are enclosed trucks that have a kind of a tailgate, a flat tailgate that drops down on the ground. The car drives onto that lift and then lifts up, and it drives into the enclosed carrier,

John: So that it stays flat the whole time.

Mike: Right. It’s flat the whole time, and there’s very, very little risk of it bottoming out. It’s just like driving down the road.

Timeframe and Shipping Rates

John: Interesting. What about the timeframe in terms of car shipping rates? Do I have to pay more if I need my car shipped right away, it’s a rush, maybe I just got a new job and I’m moving right away and I’d have to leave today, kind of thing? Versus if I’m flexible and I can have it be picked up or dropped off with a timeframe of a week or two or something like that.

Mike: Yeah, absolutely. So we do offer rush or expedited shipping, so you can pay more to have the car done in a faster time. Just like any kind of shipping, right, any product you’d buy, there’s always those options of timeframes. You’ve got your overnight and one- and two-day shipping is going to be a bit more than if you’re flexible on time, and that’s like any industry, right, that has to move something. If you’re flexible on that time, it’s a lot easier for the company moving your product, so your costs are able to go down because that flexibility helps in efficiency. If you need something right away, you might have to move certain things around, be a little less efficient. It can get done, but it’s going to cost a bit more money.

Fuel Price

John: How is a fuel price a factor in car shipping rates? I know there’s a big difference between the fuel prices now and five years ago when I took my family in an RV down to Florida and back, and it was $4.50 a gallon or something like that. We ended up spending a lot of money on fuel. Do you guys have to build that into your costs for car shipping rates?

Mike: Yeah. Like you said, yeah, when you have these crazy drastic swings in fuel, it starts to affect it, but for the most part, not a ton. There’s so many other factors, the costs of your drivers and maintenance of the truck and these insurance policies, the lanes, like I mentioned earlier, how frequent they are, they kind of come over the top of fuel prices quite a bit. So yeah, I get that a lot of people call up and say, “Oh, fuel’s down a little bit. Are prices a little bit better?” Usually I say I wish that were the case, but as fuel goes down, insurance policies still go up, overall inflation, paying people more money, especially when you’re looking for experienced drivers. I mean, these trucks are pretty expensive pieces of equipment, so those payments on those tend to outweigh those costs such as fuel and some of the smaller things.

Automobile Transportation Facts (Podcast)

John Maher: Hi, I’m John Maher, I’m here today with Mike Scenna, sales manager at Preowned Auto Logistics, a car shipping and auto transport and logistics company in Massachusetts. Our topic today is automobile transportation facts. Welcome Mike.

Mike Scenna: Hey John, how are you?

John: Good, thanks. So, Mike, we’re just going to talk about a few sort of basic facts and ideas about auto transportation, some questions that people might have. So who is it that needs automobile transportation, first of all?

Who Needs Auto Transportation?

Mike: Yeah, so really anyone who needs to get a car from one part of the country to another part of the country. There are certain types of people we find ourselves working with more than others. We ship a lot of cars for college students. Each year, we work with more and more students who are attending college out of state, and they need to get their car there and use it to get around on campus or get off campus if they need to. And it’s the idea of shipping the cars is more appealing than driving there depending on where the school is.

We do a lot of work with seasonal residents. So people live in one part of the country for one part of the year and travel to another part of the country for another part of the year. And they’re all different, consistent lanes for these types of folks. We work with a lot of people who live up in the new England area during the summer, and then they move down to Florida in the winter. And this is a huge population of people that do this. And making that trip back and forth twice per year, it makes sense to move the car rather than rent the entire time in one place, or it could be expensive owning two cars and then having to store that car. So shipping is a really popular option for these types of folks.

Then there’s obviously people who are moving permanently for a new job or just heading somewhere different in the country. Almost all moving companies don’t move cars and people really don’t realize that until the time comes. So you’ll have to reach out to another company like ourselves to have the vehicle moved to where you’re going.

Then a big category for us is we work with the auto dealerships. Of course, all of that new inventory needs to get on the lot somehow and there’s other kinds of moves going on as well. Dealerships do a lot of swapping of vehicles to accommodate customers. They have to get the trade ins to the auctions of vehicles for used inventory vehicles from the auctions onto their lot so there’s a lot of shipping that goes on with the dealerships.

And lately, a category we’re seeing really spike this year is people buying and selling cars out of state. We’re starting to see a really big shift in that where there’s a lot of information out there now and buying a car online is something that is becoming a lot more realistic. You don’t have to look for a car that’s within driving distance of 20, 30 minutes from the house. You can go online, purchase a car out of state, probably save a lot of money and use a company to have it shipped to you.

Impact of Coronavirus on Auto Transportation Industry

John: Do you think that the Coronavirus has actually helped to accelerate that in a way because people are not wanting maybe to go to their local dealership to buy a car and it’s a little more convenient and possibly safer for them to just purchase a car from somewhere else in the country online and then have it shipped to them?

Mike: Yes, absolutely. So this is something that’s been going on in the works for a while, the idea of buying and selling online. I’m sure you’re familiar with companies out there that are really pushing for it, such as Carvana where they advertise it, you can buy a car and it gets shipped to your house. So being in the industry, it’s something we’ve been prepared for, for a while that buying and selling online is going to become a big thing. We expected it like two, three years to get as popular as it is now. And as you just said, the Coronavirus changed that timeline big time. People, we’re all trying to be safe. We’re trying to go in and out as little as possible.

And at the same time, we still things we need to do. And if you have a lease that’s ending or you have a car that’s not running and you need a new one, you’re kind of forced to go online and buy it. Now we’re starting to see people start to go back in and out of dealerships. But when this first started, the doors weren’t open, you had to go online. So people were kind of forced into trying this out.

Auto Shipping for Military Personnel

John: Right. You also mentioned that one of the groups of people that use auto transport a lot are people who are moving. Within that group, I think of military personnel as being people who move a lot, they get stationed at a different location or whatever and so they have to pack up their family possibly and move to another place. Do you do a lot of business with military personnel, with auto transportation? And how much of your business it might be?

Mike: Yeah, that’s a good question. We do a lot of that. Yeah. We deal with a lot of people moving in the military and some of the same people we see come back when they get re-stationed somewhere. And this is something that a lot of times I find with them, they sort of have to do it just because they’re on, usually, a strict timeline. So someone in the military might have to get to another part of the country and go right to work and get there. So the option of driving is really not an option for them. They need to get right on a plane and go. So having a company get their car out there is really [inaudible] for them, something they need to do.

Is Auto Shipping Better for the Environment?

John: Right. Is using auto transportation actually better for the environment than driving my car from one place to the other?

Mike: I don’t know if I could say for sure. I haven’t really done the research on that. I mean, I’d like to say yes, of course. That’s a good question. That’s something I’d like to look into and see the emissions of the diesel semi-truck versus the emissions of nine cars. I’d be curious as to which one produces less. But what I could speak to, I guess, is as far as the traveling goes, I’m sure that that’s a better option for the environment. If you’re getting on a plane and making a three or four hour trip versus driving several days, you’re going to create a lot of waste. You’re stopping at different hotels and using water and really maybe not being as sustainable as you could, if you were to just do the trip in a couple of hours.

John: Right. And when you’re on a plane with maybe a couple of hundred other people, so you have to figure that you’re only using 1,200, say, of whatever the plane emissions are versus just one person in a car. You get a lot of one people in a car and there’s a lot of cars out there and it all adds up. I’d have to imagine that using sort of the group transportation options like that to get from one place to the other, and then having, like you said, maybe nine cars on one truck, all not running and just the one truck running instead of nine separate cars driving, that it would make a difference. But it would be interesting to see what the stats are on that.

Mike: Yeah, you’re right. I mean, we’re ultimately, something we all collectively try to work towards is keeping less cars on the road, especially cars with one person in them. That’s why we have the benefits of carpool lanes and things like that. So yeah, I’d say flying’s of course, as you mentioned, an efficient way of traveling, there’s a lot of people in one plane traveling from one place to another.

Can You Choose Your Shipping and Pickup Dates?

John: With automobile transportation, do I get to choose a specific day and time for my pickup and for when my car is going to be delivered? Or is it sort of a more loose timeframe? Or explain how that works.

Mike: Yeah, absolutely. So as far as timing goes, it depends on the company you work with of course, each company operates differently. With us, we understand what you need and we can make that work. So if it’s important for you to have your car picked up on a specific day, you haven’t traveled yet, but you’re going to be soon. And it’s very important to make sure that the car is picked up and that step is off your plate. You have all kinds of options. We can schedule a truck to come pick it up the day you need it picked up. We can work with the hotel that you’re at. I’ve worked with people who leave keys with front desk staff and the car safe at the hotel that they’re saying it. And we take care of communicating with them and picking up the car and letting the customer know when the car is picked up.

A lot of people I guide towards their dealerships, wherever you bought your car. Chances are the dealership you bought your car at, it would be willing to help you out during transport. So call them up and ask if you can leave the car there while waiting to be picked up by the trucks so you don’t have to worry about it. And then there’s timing on the other end. For some people it’s important that when they get to where they’re going, their car is there. If you trust us and made the planning up to us, we’ll tell you when we need to pick it up in order to make sure it’s where you need it to be when you get there.

John: Right. If the most important thing is I need it to be there on this date, then that’s going to tell you, okay, we need to pick it up, whatever it is a week prior to that, or three days prior to that. Or if it’s more important that you need to have the car picked up from you on a certain day, then that’s the most important part. And maybe when you receive, it has a little bit of flexibility. So you work with whatever it is that people need.

Mike: Right. Exactly. I always tell people, just tell us what you need and trust us to do the work. And a lot of our regular customers don’t hesitate and they appreciate our understanding of how this works in our ability to get them what they need.

Insurance During Transport

John: We’ve talked before about safety and that using an auto transport company is actually safer than getting in the car and driving it for hundreds of miles yourself. But accidents do sometimes happen. Is my car insured during transport and for how much?

Mike: Yeah, that’s a great question. So your car with the right companies, it is insured during transport. And that’s a very important question to ask the companies that you’re talking to before choosing a transport company. So as far as the numbers go, most carriers and brokers are insured anywhere between, I would say, half a million to $2 million on a truck. So it’s important to understand that because half a million on a truckload of eight or nine cars, that might not be enough to cover some of these cars. They’re Mercedes out there that go for $100,000 a car, and that’s going to go up over that insurance policy. So it’s good to ask that question when choosing a company is how much are you guys insured for? Is my car completely covered during this? If it gets totaled, do I get reimbursed 100%? And with a company like ours, the answer is yes, you do.

And the other important thing to ask, and as we just talked about with timeframes, how we have all kinds of options, that you can leave your car at one place and whether or not you need it in another place by a certain time. So when shipping a car, your car is not out just on the truck, it’s at a terminal, it’s in a parking lot and it might change trucks. So it’s important to ask, when is your car covered? So with us, your car is covered from the moment we get your keys until the moment we give you your keys back. And that’s not the case with all companies. You definitely want to dig into how your car is covered and for how much when choosing a company. You really want to understand that because accidents do happen and you want to make sure that you’re covered if that does happen.

John: Right. If the car is only covered while it’s on the transportation truck, but not while it’s in the parking lot or something like that, then that would be a problem.

Mike: Right. Yeah. And I’ve heard all kinds of stories from people about that and how something happened in the parking lot and the company they were using previously wouldn’t cover it because it wasn’t on the truck. That’s not a good experience. So you really want to make sure you’re covered the whole time.

Requirements for Truck Drivers

John: What kinds of requirements are there for the truck drivers themselves? I want to make sure that whoever it is that’s driving the truck, that’s carrying my car, obviously following all of the rules and is a trustworthy person and that kind of thing. Are there any requirements for truck drivers?

Mike: Yes. There are lots of requirements for truck drivers. You and I have talked before about how driving cross country is dangerous, and there’s also that mesmerizing effect that can happen when driving long hours and these drivers, this is something they need to be in the right state of mind and right condition to do their job on a regular basis. So you have different kinds of licensing at the state and federal level, depending on the size of the truck that the driver is operating. There’s regular DOT drug testing. There’s ELD compliance with electronic log books. So these drivers are only allowed to drive a certain amount of time per day, which is to be safe. This is kind of a new rule too, this went into effect a couple of years ago when there were a lot of problems with the logs being done on paper and a lot of drivers, they wanted to get more work done faster. So they were driving 15, 20 hours straight. And we were experiencing lots of accidents with these trucks throughout the country.

So the government switched to use electronic log books that are actually attached to, hooked up to the truck’s computer. So now drivers are only allowed 10 hours a day on the road. And this is a very strict policy, which we agree with completely here. I mean, we even push a little further than that. We require our drivers to take a little extra time off too between trips. You have DOT physicals. So they want to make sure that these people driving the trucks are safe. So they do regular physicals to make sure that they’re physically able to do these drives. And then you have different company safety mandates, for example, the loading procedures and the securing procedures, how we secure the vehicles to the trucks.

For example, the federal government requires that there be two straps, the straps go over the tires and hold the vehicle down to the ramps. We require our drivers to do four. We want four straps, one on every tire, we’d rather be more safe. And then there’s extensive training. Car hauling as to drivers like to call it is a lot different than [inaudible] driving a truck. And you’re not just driving. You have to become a professional at getting these cars on the truck and off the truck. And if you’ve ever seen one of these, I mean, I’m sure you’ve driven by one on a highway. It doesn’t look like something you want to drive a car on and off. The ramps are as wide as the tires, they piece this load together like a puzzle and it takes a lot of training to be able to do that the right way.

John: Right. Those cars on the top deck are pretty high up off the ground.

Mike: Yeah. Some of the trucks have a spot that goes over the cab. So you have to back it in over the cab and make sure you stop the tires on these little blocks without driving off the top of the truck.

John: Wow.

Mike: You really need to know what you’re doing. And we make sure we provide all of our drivers with the right training and knowledge before having them do this kind of stuff on their own. With us, you usually work, a new driver will work with a more experienced one for two weeks, even a month before operating their own truck.

Mike Scenna: Hey, John. Thanks for having me.

John: Sure. So Preowned Auto Logistics is based in the Boston area in Danvers, Massachusetts. And I know that a lot of people ship their cars from Boston to Florida, or from Florida to Boston. How many people are doing that every year, and is that a big part of your business?

Mike: Yes, it’s a huge part of our business. Last time we checked, there’re approximately about a million people who live in the state of Florida part-time, and a lot of them, their second residence is up here in the Northeast. So, this has been a big part of our business, pretty much since we started, for 20 years. We have customers that have been shipping for close to that entire 20 years, and we get referrals for new customers each year. Definitely, a big industry that we know a lot about and we learn a lot about each year, but back and forth from the Boston area to Florida is definitely a big club.

Reasons for Car Shipping to Florida From Boston

John: And what are some of the reasons why people will ship a car from Boston to Florida? Is it always, like you said, snowbirds who are living down in Florida for the winter and then they have their summer residence in New England? Or are there other reasons as well?

Mike: Yeah so, by far, the majority is what we’re talking about here, the seasonal residents. They’re up here in the summer and back down to Florida in the winter. We do a lot of students as well. Lately, we’ve really received a lot more business from students who live up here and attend college down in Florida.

And the other one that’s getting really big is purchasing out of Florida. A lot of people find that Florida is a really great state to buy cars out of. They are a lot cheaper than they are up here, and used cars especially, people really appreciate the fact that the Florida car doesn’t see winters. It tends to stay in better condition. And as people grow savvy and become more aware of the ease of shipping your car and the prices, we’re seeing a lot of purchases come out of Florida.

Cost of Automobile Shipping

John: Interesting. Yeah. So how do you calculate the cost of shipping a car from Florida to Boston or from Boston to Florida? Is there a set rate or does it go by the exact mileage or the exact city that you’re going to, or what are the factors?

Mike: Sure. So Boston to Florida is a great lane for us. We’re based out of Boston and we have seven terminals throughout the state of Florida. So as far as what we call a terminal, the terminal shipment goes, if you bring the car to our facility here in Danvers and pick it up at a terminal down in Florida or vice versa, we have set costs for that. For your average-sized sedan, you’re looking at $975. And for your average-sized SUV, it’s going to be $1,050. We have other options for door-to-door services that can add a small amount, depending on where you are in the state of Florida or up here. And we also have enclosed options, which would be a bit more as well.

Car Shipping vs. Driving

John: Okay. And why would somebody ship a car from Boston to Florida instead of just driving it? I looked on Google Maps and it’s like 22 hours of driving, Google says, from Boston down to Miami or something like that. So that seems like it would be somewhat doable or at least I could do it in a couple of days, say or something. What are the reasons that people decide to ship them instead of drive them?

Mike: Yeah. So lots of reasons there. For our seasonal residents, a lot of them are retired and might travel back and forth. Driving can be a bit exhausting. It’s a long trip. It’s a lot of driving. It’s staying in different hotels, different nights, and it’s just not as easy for them to do at their age. Another big thing is people don’t want to put that many miles on the car, especially if you’re going back and forth each season, that’s an extra 6,000 or 3,000 miles you’re going to put on the car every year. That adds up quickly. It’s going to really depreciate the vehicle a lot quicker. And really, honestly, price. It’s not cheap to drive a car down to Florida. Prices add up very quickly between fuel, lodging, you have to buy food, the tolls, it’s not a cheap trip, just jumping in the car and driving down.

John: And then what about shipping a car from New York to Florida, or maybe from a different place in New England? Are the costs pretty similar or again, are there a lot of different factors?

Mike: Yeah, they don’t vary too much for this lane. It’s a consistent lane. The Northeast in general, we can handle anywhere up here and you’re not going to see too much fluctuation in the price there.

Mike Scenna: Hey John, how are you?

Calculating the Cost of Car Shipping

John: Good, thanks. So Mike, tell me a little bit about how you guys calculate the cost of car shipping.

Mike: Yeah, so there’s really no quick answer to this one, which is why we find that some of the bigger companies fail to honor their original quotes. Car shipping has a lot less to do with distance in the move, which people usually think is the main factor and more to do with the popularity of lanes. So whether you’re near major cities or in lanes that inventory happens to move a lot in or time of year can affect it. Certain trucks are moving to different parts of the country at different times of year, and that can be beneficial to the cost, or it could be more expensive if it’s not the right time of year. Some lanes are a little bit more predictable. For example, say the Northeast down to Florida, you have a lot of seasonal residents traveling back and forth in that lane, and it stays a lot more consistent throughout the year. Something like that you’d be looking at around a thousand dollars give or take, depending on what part of Florida you’re in and what part of the Northeast.

John: Okay. Yeah. So that gives you a little bit of a rough idea of what it might cost. And that’s interesting. So if I was moving and I was moving to somewhere maybe from Boston to Kentucky or something like that, and it’s just not in a normal shipping lane where lots of people are sending cars to that location, then that’s going to jack up the price a little bit.

Mike: Right. It might be a little bit more for that. We take the quoting process here pretty seriously. So we’ll take time to assess that lane and see what’s going on at the time you’re calling, at the time that you’re looking to ship and we really stand by our quotes. When we give you a quote, we want it to be an accurate quote. I actually think that as far as I know, we’re really the only auto transport company out there that guarantees our quotes.

Cost of Car Shipping vs. Driving

John: Okay. That’s really interesting. How does the cost of shipping your car compare to the cost that I might face if I just drive my car to my destination? Because I would imagine that that’s what people are most likely to compare it. So if they’re going to ship their car, well, what’s the cost of that versus if I just get in my car and I drive it to where I’m going?

Mike: Sure. So of course that really depends on where you’re going. On a shorter move it might not be as big of a factor, but we find that on longer distance moves it almost always works out to be cheaper to ship the car. When you start getting into thousands of miles, you’re looking into gas and are going to get up there. You’re looking into lodging depending on how many nights you’re going to have to pull off the road and stay somewhere, food every day, your breakfast, lunch and dinner each day, that’s going to add up, tolls add up quickly and also taking time off work. If you’re going on a drive that’s going to take three days, there’s really a lot of expenses involved in something like that.

John: Right. And then the other thing that people might think about, especially if they’re moving more permanently and not just going somewhere and then coming right back a few months later, people might think, “Well, what if I just sell my car? And then I’ll just buy a new car wherever I’m moving to.” What’s the cost of that compared to moving my car and why wouldn’t I just sell my car and buy a new one?

Mike: Yeah. This is something we talk to folks about quite a bit. As you stated, if you’re going back and forth, of course, that might not be much of an option. However, if you’re moving somewhere, it could be beneficial for someone who is experienced in buying and selling a car. But it’s something that if you tried to get into it could really hurt you as well. You’re coordinating selling the car before you leave. So if you don’t sell the car before you leave, you have to have a backup plan. Now you’re either looking to set up a shipment last minute, or you’re getting a lot less money for the car than you intended on getting.

Depending on what States you’re in, there’s taxes involved in buying and selling cars. So this is something that you really want to do your homework and have planned out very well if that were the way to go. We find that a lot of people, once they look into that and look into the cost of shipping and the ease of shipping a car, it usually works out to be a little bit easier and cheaper to just ship the car.

John: Yeah. And I imagine that depreciation comes into that as well. Where, as a lot of people know, as soon as you drive a car off of a lot, it’s just immediately not worth as much as what you just paid for it. And then same thing, if you’re selling a used car, you’re going to get a lot less for it than you would when you go out to buy another equivalent car of the same make, same model, same year. Maybe you’d probably pay more for another one. So there’s a cost right there in terms of depreciation and just selling a car and then buying another one.

Mike: Right. And outside of the cost, people buying a car is something that you spend quite a bit of time. You’re looking for the right car, the car that fits you. We find that people grow attached to their vehicle. It’s not something that’s easy to just sell, replace and get a new one. This is the car you picked out. This is the car that you want. And you might want to keep that with you when you move as well.

Types of Cars Shipped

John: Are a lot of the people that you move cars for people that are big car people, and maybe they have a fancy car or an old classic car or something like that? Obviously they’re not going to be able to just sell it and just buy a new one just like it. Or is it a mix between that and people who just have sort of what I would consider an average car?

Mike: Yeah, of course we see it all. We definitely ship cars for a lot of car lovers out there that there is no replacing the vehicle. So that’s a big thing. We ship cars for collectors. There are people out there buying cars all around the country, very specific to what they’re looking for. Or if they’re traveling around the country and very attached to their car and the idea of renting a car where they go, it is not an option. There’s this car, they love it and they want to bring it with them. And then of course, we ship cars for people who just need a car to get around. And if you go somewhere, we’ve done the math, I think it’s around about a month, if you go somewhere for over a month, it usually works out to be cheaper to ship the car then to rent one.

Cost Factors When Considering Shipping a Car

John: Okay. That’s interesting and that’s good to know. Are there any other factors that people might need to consider that affect the cost of auto transport?

Mike: Yeah. I think I may have mentioned time of year is a big one, size of vehicle I don’t think I mentioned that’s a really big factor. These trucks are only allowed so much weight and so around 80,000 pounds on the truck. So if you have a bigger vehicle, it’s going to be heavier. It’s going to cost a bit more. Then again, you can benefit from a smaller vehicle that is a lot lighter. You can save some money if that’s the case. Accessibility of location is really big. If you’re really off the beaten path, somewhere tough to get to it’s going to be a little bit more money. It’s going to take more time for the truck to get off its main route, pick up the vehicle and get back on a trip to where it’s going.

And then there’s types of shipment. Not everyone might be aware that there are a few different ways you could ship your car. The biggest two being there’s an open shipment, it’s on a car carry that I’m sure most people see driving down the highway. You could see all the cars stacked up on the truck, and then there are enclosed trucks. So the car’s covered the entire time. It’s a bit pricier, but it’s a protection for people with higher end cars that really want that extra peace of mind when shipping their car.

8 Questions You Should Ask Before You Ship Your Car

John Maher: Hi, I’m John Maher. I’m here today with Mike Scenna, sales manager at Preowned Auto Logistics, a car shipping and auto transport and logistics company in Massachusetts. Our topic today is how auto transport works. Welcome, Mike.

Mike Scenna: Hey, John. How are you?

Reasons for Hiring an Auto Transport Company

John: Good, thanks. Mike, tell us some of the reasons why people might need an auto transport company.

Mike: Yeah, sure. The simple answer there is if you want to get your car from point A to point B without driving it. Some of the more common reasons that we ship would be we have a lot of seasonal folks, people who live in one part of the country for part of the year and another part of the country for another part of the year, and they’ll need their car wherever they are so they usually ship it back and forth. We ship a lot of cars for students attending colleges out of state. They need a car to get around while they’re there, but don’t necessarily want to drive it out there. If you have to move, of course, you have to get your belongings out there as well as your vehicle. What we’re finding a lot of now is people purchasing cars out of state. Inventory is something that’s a bit difficult to come by and people are starting to realize it’s a bit easier to ship a car than they may have thought it was in the past.

John: Do they do that with a private sale or are those car dealerships in other states that they’re buying them from, or both?

Mike: Yeah, either or. People finding it online themselves or dealers recommending out of state purchasing, helping people find cars and also letting them in on the fact that it’s not that hard to have a car shipped.

Logistics of Car Shipping

John: Okay. What are some of the logistics involved in … Obviously you have to pick up cars from maybe different places where people live and then you’re delivering cars to potentially lots of different places as well. What are some of the logistics involved on your end as a company and how you deal with multiple people and multiple places and destinations where they’re picking cars up and dropping them off?

Mike: Yeah, sure. This is a question I get asked a lot and I always find it funny by how surprised people are with how simple it is. Really, it’s as easy as you provide us with some basic information, addresses, phone numbers, vehicle information. We set a time, a window for the car to be picked up. We notify you when the driver is on the way and plans on being there. You perform a condition report with the driver, the vehicle gets picked up. From there, you can track your shipment, you can call us or we could set you up with our online portal. Then we notify you when it comes time to deliver the car.

John: Do you work it out with the drivers that maybe they have a certain area that they work in so that they’re picking up a bunch of different cars kind of at the same time that are all in the same area and then they’re driving to a … Are all of those cars going to different places along his route, or how does that all work out?

Mike: Yeah. There are all kinds of options, anything from a door-to-door service, where we’re going to have the driver show up as close to the house as they can get, find maybe a big parking lot or a safe spot to pick up the car, and same thing on the delivery end. We also have terminals around the country, places that we work with specifically to drop cars off. Bundling them together makes it more efficient for the driver to pick it up and that efficiency also leads to savings for the customer as well. And it’s a bit easier dropping the car off. You show up at a place, drop the car off and you’re all set. You don’t have to worry about waiting around for the driver, that’s kind of checked off the list for the day.

Advantages of Choosing an Auto Transport Company

John: You said that auto transport in general is an alternative to driving the car yourself. What are some of the advantages of choosing an auto transport company instead of just hopping in the car and just driving it to wherever I’m going?

Mike: Yeah, sure. All kinds of advantages there. Of course, there’s time. It’s going to take a lot longer to drive a car across the country than it is to just have it shipped, hop on a plane and fly to your destination. Of course, it’s a lot safer. Not driving across the country is safer than driving across the country. Wear and tear on the vehicles, you’re going to put a lot of miles on the vehicle. If you can avoid doing that, that’s great for your car. Finally, we usually find that it’s cheaper to ship the car. If you add up some of the costs, fuel, lodging, time you have to take off work, those things add up quickly, and you can find that it’s probably more expensive to ship the car than it is to drive it yourself.

John: Okay, interesting. Yeah, maybe it’s some of those things people don’t think about right off the top of their heads. Like you said, lodging, if it’s going to be a three-day trip, then you’re going to have to spend a couple of nights in a hotel and maybe even, like you said, take off a couple of days of work and what is that going to cost you? So yes, a lot of those things that maybe people don’t think about up front.

Mike: Right, yeah. Food, tolls, those actually add up pretty quickly as well.

Guidelines for Car Shipping

John: Are there any rules about transporting my car? For example, if I’m moving, can I just load my car up with all of my stuff from my house and my boxes and things like that and then have you move my car and move all my stuff at the same time?

Mike: Yeah, so not a ton of rules, but that is one of them. There is a limit on the items that you can put in the car. Safety is very important and we ask that people keep under a hundred pounds in the vehicle and all items below the window lines. There’s a weight limit on the truck that we have to meet and we also need to keep visibility for loading and unloading the vehicle off the truck.

John: Right, that makes sense, yeah. Are the cars insured when they’re transported, and what happens if there happens to be an accident or any kind of damage to my car while it’s being transported?

Mike: Yeah. With us, absolutely. The vehicle is covered 100% during the entire shipping process. If anything happens, we cover it completely.

Steps to Ship Your Car

John: What’s the first step? Say I am a person who is going from Boston down to Florida for the winter and then I’m going to want to come back again in the spring, what’s the first step that I should take in terms of setting up my auto transport.

Mike: Yeah, first step, I think it’s great to just pick up the phone. Give us a call, talk to someone, someone who can let you know how the process works, answer any questions you might have. Research, I tell people all the time it’s great to do research on this. It’s not something that people typically know a lot about without experiencing it. There unfortunately are a lot of bad companies out there. I check reviews, ask a lot of questions, money back, if that’s involved, insurance on the car, safety of the shipment.

John: Then what are the next things that I can expect? I’ve done my research, I think you guys are great, I set up picking up my car or I can drop it off to you guys. Then what happens after that?

Mike: After that, we handle everything from there. We’ll reach out to you once we’ve assigned a truck, let you know what the window for the pickup will be. We’ll let you know where to be and when. If you’re not dropping off at a terminal, we’ll help coordinate the safest place for the car to be picked up, walk you through performing the condition report. Once we’ve finished with the pickup, we’ll let you know about several tracking options we have. You can call us, we have our portal we can set you up with where you can check online. When it’s time for delivery, we do the same thing. We let you know where to be and when, and help you through that process as well.

John: All right. Well, that’s really great information, Mike. Thanks again for speaking with me.

If You’re Relocating for Business, You Can Deduct Your Moving Expenses

If you’re moving because of work, you can declare a tax deduction for using a car shipping company.

It’s important to emphasize that your move must be required as a condition of employment for the IRS to recognize the deduction. So, if you’ve been offered a new job across the country or have accepted a job transfer, you’re in good shape.

Please note, however, that there are two qualifications you need to meet:

(1) Your Workplace is an Acceptable Distance from Your Old Home

The IRS dictates that your new workplace must be over 50 miles further from your previous home than your old workplace was.

This is a little confusing, but it’s really an easy qualification to meet.

What the IRS is basically saying is that if your new job will require you to drive over 50 miles further from your old place, then you’re okay to deduct moving expenses. As an example, if you used to drive 15 miles from your home to work, then your new workplace would need to be at least 65 miles away. Presumably, if you’re considering having a car shipped along with your other belongings, then the distance is fairly significant. If your relocation is taking you a few hours away from your old home, for instance, you easily meet the requirement.

(2) You’ll Work in Your New Location for an Acceptable Amount of Time

As a new or recently-transferred employee, you must work full-time for at least 39 weeks over the 12 months immediately following your move. If you’re self-employed, that number goes up: You’ll have to work full-time for the 39 weeks during the first 12 months, plus another 39 weeks the next 12 months. That equals to a total of 78 weeks for the first 2 years at your new location.

This second qualification may seem a little harsh, but there’s good news. If you haven’t quite met the “time” requirement by the time you file your tax return, you can still deduct your moving expenses if you expect to meet the requirement in the coming months.

Deductible Expenses and Other Tax Tips

You must pass both of the above requirements to meet IRS guidelines. It’s a good practice to keep detailed records, including a paper invoice for shipping your car and all receipts.

You’ll use IRS Form 3903, the Moving Expenses form, when you file for your deductions. Please note that this does not apply to members of the military, who have a different set of regulations for relocation.

The following moving expenses are deductible:

  • The costs of having your car shipped by a vehicle transport company.
  • The cost of insurance for a shipped vehicle.
  • Hotel or lodging along your travel route, or the cost of plane tickets.
  • Costs of a rental truck, plus gas and toll expenses.
  • The cost of professional movers, and even packing materials.
  • The costs of storing or insuring household goods.
